Approving or Rejecting a Payment

Overview

When an approval policy is active and a manager has been assigned to a counterparty, payments to that counterparty require approval before they can proceed.

When You Would Use This

You are the assigned manager for a counterparty, and a payment has been created that requires your approval.

How It Works

Payments awaiting approval appear in your Dashboard To-Do section with a To Approve badge and on the Transactions page with an Awaiting Approval status.

Steps

Approving a Payment

  1. Open the transaction from your Dashboard or Transactions page.
  2. Click Approve.
  3. Review the payment summary in the Confirm Approval dialog.
  4. Click Confirm.

Rejecting a Payment

  1. Open the transaction.
  2. Click Reject.
  3. Enter a reason for the rejection.
  4. Click Confirm Rejection.

Pay without Approval (Admin Only)

Admins with release permissions can bypass the approval process:

  1. Open the transaction.
  2. Click Pay without Approval.
  3. Confirm the action. The assigned approver will be bypassed and the payment will proceed.

What Happens Next

  • Approved: The payment proceeds to the next step (invitation sent or payment released).
  • Rejected: The payment is rejected and the creator is notified.
  • Pay without Approval: The payment proceeds immediately, bypassing the assigned manager.

The transaction detail shows an approval timeline: who requested the payment, who was asked to approve, and the outcome.

Notes

  • Only the assigned manager for that counterparty can approve or reject.
  • Admins can bypass approval using Pay without Approval.
  • For Protected Pay, approval may also be required when a release is requested. The manager can approve or reject the release request. If rejected, the payee is notified and may request release again.
